This notice tells you which personal data the Kognifi Training Portal (kognifi.training) uses, why, and who sees it. It adds to the Kognifi Privacy Policy and follows the Personal Data Protection Act 2010 (as amended in 2024).
What We Collect
Your name, work email, employer (company name), job title (if your employer gives it), course and class, sign-in records, lesson progress, quiz answers and scores, knowledge-check results, assignment answers and uploads, trainer scores and comments, seat requests, certificates, and the attendance, training needs survey (TNS) and HRD Corp evaluation (TEE) status for your class.
We do not ask for your IC number, home address or date of birth on the portal.
Why We Use It
- To run your course and the portal.
- To assess your work and issue your certificate.
- To report your training to your employer.
- To support your employer’s HRD Corp claim.
- To improve our courses. For this we use combined results without names.
Who Sees It
- You.
- Your Kognifi trainer and the Kognifi staff who run the course.
- Your employer, if your employer enrolled you: the HR or L&D contact that your employer appoints sees your progress, quiz scores, assignment status, competency level and certificate. They do not see the participants of other companies.
- HRD Corp: only the records that the claim needs (attendance and evaluation), as HRD Corp requires.
- Our service providers, only to run the portal: website hosting (Kinsta, on Google Cloud in Singapore), security and delivery network (Cloudflare), customer records (Zoho, United States) and email delivery. They process data on our instructions.
Other participants in a public class do not see your data.
Transfers Outside Malaysia
Some of our service providers keep data outside Malaysia. We use providers that protect data to a standard comparable to the PDPA.
How Long We Keep It
- Your learning records and certificates: 7 years after the course, for certificate checks and HRD Corp audits.
- Your assignment answers and uploads: 1 year after the course.
- Your course access ends 90 days after the last training day. Your certificate stays available to verify.
After these periods we erase the data.
Your Rights
You can ask to see your data, correct it, or get a copy of it, and you can withdraw your consent. If you withdraw consent during a course, we may not be able to assess you or issue a certificate. Use the Data Request form; our Data Protection Officer replies within 21 days.
Security and Breaches
We protect your data with access control, two-factor sign-in for administrators and encrypted connections. If a breach can cause you significant harm, we tell you and the Personal Data Protection Commissioner as the law requires.
